Privacy Policy

This Privacy Policy explains how the Hoshizaki PM Tool (the "Service"), operated by B&G Refrigeration Company, Inc. ("we", "us"), collects, uses, and protects information. The Service is a private business application used by authorized staff and technicians.

Information we process

• Account data — usernames and credentials for authorized users.
• Maintenance records — PM checklists, invoices, equipment models/serials, locations, technician names, and readings submitted to the Service.
• Email content — when email auto-import is enabled, we read messages in the connected mailbox that match the configured criteria, and their PDF attachments, in order to create maintenance records.
• Operational logs — processing activity used to run and troubleshoot the Service.

How we use it

Information is used solely to operate the Service: extracting data from checklists, generating equipment performance reports, sending maintenance notifications, and maintaining records for B&G Refrigeration and its customers. We do not sell personal information or use it for advertising.

Google account data (Gmail)

If a Google/Gmail account is connected for email import, the Service uses Google APIs to read and label messages in that mailbox for the sole purpose of importing maintenance checklists. The Service's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google data is not transferred to others except as needed to provide the Service, is not used for advertising, and is not read by humans except where required for security, to comply with law, or with the operator's consent. Access can be revoked at any time from the connected Google account's security settings.

Third-party processors

We use third-party providers strictly to deliver the Service — for example, an AI document-extraction provider to read checklist PDFs, and an email-delivery provider to send notifications. These providers process data only as needed to perform their function.

Data retention & security

Records are retained for as long as needed for maintenance history and reporting. Credentials and integration secrets are stored encrypted. Access is restricted to authorized users.
